Privacy policy

This Privacy Policy explains how LaserCrafts collects, uses and protects personal information in line with the Protection of Personal Information Act (POPIA). It applies to enquiries, quotations, orders, deliveries and related services across Somerset West, the Western Cape and South Africa.

Who controls your information

LaserCrafts is the responsible party for the personal information you give us when you enquire about or place an order for laser-cut wooden gifts, signs and decor. Where we use service providers to support our business, such as courier handling, payment processing or administrative support, they act under instructions and may only use your information for the agreed purpose.

Our operations are managed from Somerset West and supported by our internal team, including client services, design, production, finishing and dispatch. Astros Marketing (Pty) Ltd acts as the operator for this website and related online enquiry handling on our behalf.

What information we collect

We only collect information that is needed to quote, produce, finish and deliver your order, or to respond to your enquiry. This may include information you submit through our contact form, order details and delivery instructions.

  • Name and surname, business name where relevant
  • Contact details and preferred contact method
  • Delivery address and collection instructions
  • Product requirements, wording, sizes, colours and quantities
  • Invoice details, payment records and proof of payment
  • Information shared for custom design, samples or corporate branding work

How we use personal information

We use personal information to prepare quotations, confirm specifications, process orders, arrange courier packing and manage delivery. We also use it to keep proper records, resolve queries and meet legal, tax and accounting duties.

For custom items, your information may be used by our design and production team to create proofs, confirm spelling or layout and complete approval steps before cutting or engraving. We may also use order history to support repeat orders, but only where required for production delivery and compliance.

  • Responding to enquiries and sending quotations
  • Producing personalised items and confirming approvals
  • Arranging local deliveries and nationwide courier dispatch
  • Managing accounts, records and dispute handling
  • Complying with legal and regulatory obligations

When we share information

We do not sell personal information. We share it only where necessary for the running of our business or where the law requires it. This may include courier partners, accounting support providers, payment processors and public authorities if a legal duty applies.

Any third party receiving information on our behalf must take reasonable steps to protect it and may not use it for its own purposes. If a delivery needs to reach you in Stellenbosch, Cape Town, Paarl, Hermanus, Gordon's Bay, Strand or Durbanville, we may share the details needed for successful delivery only.

How we protect and retain records

We take reasonable technical and operational measures to protect personal information against loss, unauthorised access, misuse or alteration. Access is limited to staff who need the information to perform their work, including design, production, client services and dispatch.

Records are kept only for as long as needed for the purpose collected, or for longer where the law requires us to retain them. This can include quote records, order files, proof approvals, courier notes and financial records. Load-shedding, device failure and transport delays do not change our duty to preserve records securely and keep backups where practical.

Your rights under POPIA

You have the right to ask what personal information we hold about you, to request correction of inaccurate details and to object to certain processing where POPIA allows. You may also request deletion of information that is no longer required, subject to any legal retention obligations.

If you believe information has been used unlawfully, you may raise the matter with us first so we can review and respond. You also have the right to complain to the Information Regulator of South Africa if you remain unsatisfied.

  • Access to your personal information
  • Correction of inaccurate or incomplete details
  • Deletion where legally permitted
  • Objection to certain forms of processing
  • Withdrawing consent where consent was used as the lawful basis

Cookies, enquiry forms and policy updates

Our website may use basic cookies or similar tools to support site functionality and enquiry handling. These tools help us remember form entries, maintain security and understand how visitors use the site. They do not give us access to more information than is needed for normal operation.

By submitting an enquiry form you confirm that the information provided is accurate to the best of your knowledge and that you are authorised to share it. We may update this Privacy Policy from time to time to reflect legal, operational or service changes. The latest version will apply from the date it is published.
