Event Signage Sets

LaserCrafts makes coordinated event signage sets for weddings, parties, launches and community gatherings. From one-off welcome boards to full directional packs, we cut and finish every piece for clear use on the day.

What a coordinated event set includes

An event signage set is more than one sign in matching style. It is a planned group of pieces that carry the same font, shape, wood tone and layout so your guests can move through the venue without confusion. For weddings we often include a welcome sign, seating chart, table numbers, menu boards and a gift table marker. For launches and community events, the set may include directional arrows, registration signs, sponsor boards and safety notices.

All pieces are cut and prepared in our Somerset West base for use indoors or under cover outdoors. We work in wood thicknesses from 3 mm to 12 mm, with sign sizes ranging from compact A5 markers to large entrance boards up to 1200 x 900 mm. If you need freestanding pieces we can add backing panels, feet or hanging slots. We also prepare layered lettering for a raised look that reads well in photos and low light.

  • Welcome signs, seating charts and table markers
  • Directional signs, rules boards and registration pieces
  • Menu boards, hashtag signs and photo booth props
  • Freestanding, hanging or flat-mounted formats

Materials that suit South African venues

We choose materials according to venue conditions, budget and how long the signs must last. For indoor use, smooth birch ply and sealed MDF are common choices because they give a clean finish and take engraving well. For outdoor or coastal venues around Strand, Gordon's Bay and Hermanus we recommend sealed timber-look boards or layered pieces with extra edge protection. Salt air and sudden mist can affect untreated wood, so we plan for that early.

Finishes can be left natural, stained, painted or combined with acrylic-like inserts cut from wood. We do not use fragile fittings that fail when wind picks up. If the event is in a marquee, on a wine farm or at a hall with municipal restrictions on wall fixing, we can supply stands and removable hanging options instead. Load-shedding is also part of planning, so we keep the production schedule realistic and cut in batches to avoid delays when power is interrupted.

  • 3 mm, 6 mm and 12 mm wood options depending on size and weight
  • Sealed edges for added protection against moisture
  • Natural, stained or painted finishes
  • Optional stands, feet and hanging slots for flexible placement

How the order is planned and approved

Most projects start with a creative consultation through the enquiry form on our contact page. Lesedi and Marli usually handle the early brief, then we map out the full set so the wording, sizes and placement work together. If you already have a seating plan or sponsor list, we can build around that. If not, we help you decide what is actually needed so you do not overspend on pieces that will be hidden or unused.

Once the layout is agreed, Shailen prepares the laser work and Ruan handles finishing, while Leah coordinates packing if courier delivery is needed. For larger functions we often produce a prototype sample first, especially when the venue has unusual colours or the client wants a very specific font size. That sample helps check legibility from 2 to 5 metres away, which matters more than people think when guests are arriving quickly.

  • Brief review and sign list confirmation
  • Layout mock-up with wording, sizes and placement
  • Optional prototype sample for approval
  • Cutting, finishing, packing and dispatch

Turnaround times for weddings, launches and group events

Turnaround depends on size, finish and how many wording changes are involved. A simple set of three to five signs can often be completed in 5 to 7 working days once artwork is confirmed. Medium sets for weddings or business events usually take 7 to 10 working days. Bigger orders, especially those with layered parts or matching table pieces, may need a little longer so each item is finished properly.

If your event is in Cape Town, Paarl, Stellenbosch, Somerset West, Durbanville or Hermanus, courier timing is built into the schedule so the set arrives in good time for setup. We recommend allowing at least one extra working day for packing and delivery, and a little more if the venue is far out or access is limited. Emergency same-week work is sometimes possible, but only if the cut list is simple and the brief is final from the start.

  • Small sets: 5 to 7 working days
  • Medium sets: 7 to 10 working days
  • Large or layered sets: allow extra lead time
  • Courier packing added before dispatch

Pricing approach for event signage sets

We price event sets according to the number of pieces, the size of each item, material choice, finishing time and whether there are special fittings or duplicate copies. A single welcome sign costs far less to produce than a full coordinated pack with matching table markers, arrows and a seating board. That is why we quote on the actual list, not on a vague bundle that may leave you short.

For planning purposes, small event packs are often the most economical when they stay within a standard sheet size and need minimal finishing. Larger wedding sets or corporate launch kits are charged by component, with discounts available on repeated shapes and bulk wording. We keep the pricing practical and clear so clients can compare options and make changes before cutting begins. If you are working with a set budget, we can suggest where to spend and where to trim without weakening the overall look.

  • Quoted by component and material, not by guesswork
  • Bulk pricing available for repeated pieces
  • Prototype samples quoted separately when required
  • Courier packing added only when delivery is needed

Finishing, setup and care during the event

After cutting, each piece is cleaned, checked and packed so it arrives ready for use. For freestanding signs we make sure the base is stable enough for indoor traffic and uneven floors. For hanging signs, holes or slots are positioned to suit cable ties, rope or removable hooks. If you need multiple use over a weekend, for example a Friday setup and Sunday family lunch, we can recommend finishes that clean easily between uses.

Maintenance during the event is simple. Keep signs out of direct rain, wipe dust with a soft cloth and avoid harsh cleaners that can strip sealant or lift lettering. For outdoor weddings near the coast, a quick check every 6 to 8 hours is sensible if the weather changes. If a sign needs to last longer than one event, we can advise on storage in a dry box or flat carton so the edges stay true and the finish remains neat.

  • Stable bases for tables, plinths and entry points
  • Removable hanging holes or slots where needed
  • Soft-cloth cleaning only
  • Storage advice for repeat use after the event

Questions we get asked

Can you match the event signage to our colours and venue style?

Yes. We can work from your palette, invitation design or venue theme and keep the wording, size and finish consistent across the full set.

Do you make signs for outdoor events near the coast?

Yes. For coastal venues we recommend sealed materials and protective finishes, especially where there is sea mist, humidity or open-air exposure.

Can you help if we only need a few pieces and not a full set?

Yes. We can make a single welcome board or a small cluster of signs, and we will still keep the layout clean and readable.
